The content of this user manual may change without notice, please stay informed.Please note: The content of this user manual does not represent a commitment made by Yonyou Network.OverviewProduct OverviewContract Management: Provides core closed-loop management functions for the entire contract lifecycle, supporting capabilities from contract drafting, approval, online signing, to changes and archiving.Operation GuideContract Signing CenterOverviewIn enterprise informationization, there are generally multiple historical systems, with contract data silos in each system and no unified entry point. Business personnel need to access multiple systems and remember multiple passwords to log in and process contract-related tasks. The Contract Signing Center is dedicated to providing an all-in-one unified contract signing entry point, offering enterprise clients a unified entry point for contract drafting, unified entry for contract approval, and unified entry for contract signing.Contract DraftingThe contract drafting node serves as a unified entry point for enterprises to draft contracts, starting from the contract document itself. Currently, the CLM contract drafting has been integrated, and after more areas are connected in the future, this entry point will support the drafting of various types of contracts for both homogeneous and heterogeneous systems.image_2.pngClick on Contract Drafting to enter the node, as shown in the figure below:image_3.pngimage_4.png1) The recently used tabs displayed above this node show the most recently used templates and models, allowing for quick drafting based on the recently used templates or models. To enter the file details interface:Click to directly create a new document, enter the contract document interface, fill in the information, save, and submit the document.image_5.png2) The Draft Box tab displays the drafting records of contract documents for which contract documents have not been created. You can continue to draft contract documents based on these files. By clicking on "More" in the Draft Box, you can enter the Draft Box list to continue drafting the contract.3) As shown in the figure above, click the "Draft File" button, a file selection window will pop up. After selecting a local file, you will enter the file details interface. After editing or previewing the file, you can directly fill out the contract document.image_6.pngClick on the contract type node in the contract type tree, and the left side will display the selected organization. After selecting the organization, the available active contract templates and contract template information for that organization will be displayed, as shown in the figure below:PreviewFor templates or samples, both can be previewed at this entry. By clicking the preview button, a file preview interface will pop up, allowing you to view the content information of the templates and samples.DownloadThe contract template can be downloaded from this entry; simply click the download button to complete the file download.DraftingFor templates or samples, both can support contract drafting based on templates or samples at this entry point.1) When drafting a sample, it needs to be combined with the document's online collaboration capabilities, allowing for online editing and adjustments based on the sample. After forming the contract text, click to fill the form directly, generating the contract document and bringing the contract text into the document, filling in the document content to complete the contract drafting.2) When drafting a template, click to draft, which will directly enter the corresponding contract document detail interface and bring the template into the contract text component, fill in the document, generate the contract file, and complete the contract drafting.Note: The addition, editing, deletion, and downloading of contract templates have been registered as permission buttons, and when granting authorization, users can be given button-level permissions.Contract ApprovalThe contract approval node is a unified entry point for contract approval messages and notifications provided to enterprises. From this entry point, pending tasks and notification messages related to contracts (CLM contracts within the system, procurement contracts, and sales contracts) can be processed.image_7.pngClick on contract approval to enter the node, as shown in the figure below:1) For the to-do messages, you can click on the message title in the list on the right to enter the corresponding to-do interface and handle the to-do.2) For contract-related notification messages, view unread notification messages in the unread section, and after viewing, return to the read section.3) For contract-related warning messages, view unread warning messages in the unread section, and after viewing, return to the read section.My SignatureThe logged-in user can view their list of tasks that require online signatures. In the signature task list, users can query, sign, transfer signatures, and perform batch transfers. In the signed task list, users can view the tasks that have already been signed. By clicking on the name of the signed task, users can enter the signed interface to check the signing status.image_8.pngOnly tasks that require the current person to sign for the enterprise can be transferred; personal signing tasks do not support transfer.The user selected is a verified user during the transfer signing.When batch transferring signatures, multiple signing tasks need to be transferred to the same person.SignIn the task management list, you can click on the task name to enter the signing interface and sign the contract online.Transfer & Batch Transferimage_9.pngTransfer Signing Scenario: In scenarios where the current signing task does not require your own seal but needs someone else's seal, this transfer signing capability can be used. For example, in the labor contract signing scenario, HR can transfer the signing task that requires a seal to an intern or assistant.In the signing task management list, you can transfer or batch transfer pending signing tasks. When transferring, it is necessary to transfer to other users who have already completed real-name authentication, as shown in the image below:View Signed TasksIn the list of signed tasks, you can view the tasks that have already been signed. You can click on the name of the signing task to enter the signed interface and check the signing status.Intelligent Contract ComparisonIndependent intelligent comparison entry, supporting the initiation of differential comparison of electronic contract documents.Upload a benchmark file and a comparison file, in .pdf or .docx format. Click the [Start Comparison] button to initiate the comparison:·Add a record in the comparison records, with the comparison status as "In Comparison";·If the comparison is successful: the comparison status is successful;If the comparison fails, the comparison status will be marked as failed, and the user is allowed to initiate the comparison again;·Click the button to update the comparison progress;image_10.pngAfter the comparison is successful, you can view the comparison results. In the difference results:·You can view the number of differences and filter the difference list by all, deleted, added, or modified.Support the positioning of comparison results in the left benchmark document and the comparison document.·Support comparison results: Filter results by ignoring the ${xxxx}$ symbol.·"Show All Differences": Display all difference locations on the current page.image_11.png1.Currently, scanned documents and image comparisons are not supported (scanned images converted to PDF or DOCX format are also considered scanned documents).Intelligent Comparison RecordsIntelligent comparison records, view all intelligent comparison records initiated by the current user, and support viewing results.Intelligent comparison records, display intelligent comparison records: support querying by file name and operation time.image_12.pngSelect one and click to see the comparison results. For detailed information, refer to the help instructions in the 【Contract Intelligent Comparison 】 section.image_13.pngIntelligent Recognition RecordsSmart recognition records, view all smart recognition records initiated by the current tenant, and support viewing results.Smart recognition records, display smart recognition records: support querying by contract name, initiation entry, contract type, etc., and support clicking the [Refresh] button to refresh the recognition results.image_14.pngSelect one, click on 【View Results 】 to see the recognition results, which can also be displayed categorized by contract terms.Description: The recognized result fields are matched to the contract file configuration based on the current file's contract type - the fields configured in the recognition rules for the submission documents.image_15.pngimage_16.pngimage_17.pngNotes:2.The intelligent recognition results of the contract text need to be displayed. The contract signing process is as follows: Contract Drafting – Contract Approval – Finalization of Contract – Offline Signing and Return – End.The signing method is a non-signing scenario, and the contract signing process is as follows: Contract Drafting – Contract Approval – Finalizing the Contract – End.The method of contract signing is controlled by the "Enable Contract Seal" setting in the "Contract Attribute Configuration" service node.
