Basic configuration preparation must be completed before drafting, approving, signing, and managing contracts can take place.User GuideInitial NavigationFunction DescriptionIn order to reduce the implementation difficulty, after the enterprise customer purchases the friendly contract and activates it, initial configuration needs to be performed first. This provides guidance for the initial configuration of contract management, informing the implementation path for configuration.Operation Instructionsimage_2.pngimage_3.pngAfter activating the friendly contract, go to Collaborative Cloud -> CLM Contract Services -> Contract Preparation -> Initial Navigation. Once you enter the initial navigation, it will display the configuration and operation videos related to contract business, as shown in the figure below:Contract Basic Configuration: Click on [Contract Classification System] to open the contract type service node, where you can add contract type groups and contract types in the interface; Click on [Contract Control Parameters] to open the contract configuration service node, where you can configure control parameters for CLM contracts in the interface, such as sub-table visibility, contract attributes, and other information; Click on [Contract Number] to open the coding rules service node, where you can configure the serial number for contract drafting, contract numbers, serial numbers for contract changes, and supplementary agreement contract numbers in the interface; Click on [Automatic Tasks] to open the scheduling task service node, where you can set up scheduling tasks that automatically take effect after the CLM contract is signed in the interface; Click on [Contract Warning] to open the warning task service node, where you can set up warning tasks for upcoming expiration reminders of CLM contracts in the interface;Document and Approval Flow ConfigurationClick on [Contract Attributes] to open the feature service node. Add features in the feature interface as an elastic extension for the contract management business object according to business needs;Click on [Contract Interface] to open the UI template service node. Adjust the document template in the UI template node according to business needs;Click on [Contract Approval Flow] to open the workflow design service node. Design the approval flow for contracts in the workflow design node according to business needs; Contract Basic Data ConfigurationClick on [Contract Legal Category] to open the contract legal category configuration service node, where you can manage and maintain contract legal categories;Click on [Contract Sensitive Words] to open the contract sensitive words configuration service node, where you can configure the sensitive word groups and sensitive words that depend on contract risk checks;Click on [Contract Change Category] to open the contract change category configuration service node, where you can configure the categories of contract changes;Click on [Contract Watermark] to open the contract watermark service node, where you can set up contract watermark schemes; Template and Clause ConfigurationClick on [Contract Clauses] to open the contract clause service node, where you can add clause categories and clauses under the organization; Click on [Contract Template] to open the contract template service node, where you can maintain contract templates based on business needs.Electronic Signature ConfigurationClick on [Enterprise Real-name Authentication] to open the enterprise real-name authentication service node, and authenticate the corresponding enterprise based on business needs; Click on [Personal Real-name Authentication] to open the personal real-name authentication service node, where the currently logged-in user can be authenticated; Click on [Enterprise Seal] to open the enterprise seal management service node, where the enterprise seal of the authenticated organization can be maintained; Click on [Personal Seal] to open the My Seal service node, where personal signature seals can be set according to business needs; Click on [Contract Signing Configuration] to open the contract signing configuration service node, where the signing entity and corresponding signing agent information can be configured based on business needs.Physical Seal Configuration Click on [Physical Seal] to open the physical seal service node and manage the configuration of the enterprise's physical seals.Contract Attribute ConfigurationFunction DescriptionConfirm CLM contracts through contract attribute configuration (Document Type Code: clmContract; Document Type Name: Contract Registration corresponding to Contract Type) contract attributes (basic contract fields + special fields) and business control parameters (such as whether to enable contract signing, etc.).Column DescriptionContract Attribute Configuration: Key Fields and Descriptions:No.Column NameColumn Description1Contract TypeOnly for contracts with document type CLM - Contract Registration, configure contract attributes and business control parametersOperation Instructionsimage_4.pngAfter activating the friendly contract, go to Financial Cloud -> CLM Contract Services -> Contract Preparation -> Contract Attribute Configuration to enter the contract attribute configuration, as shown in the figure below:image_5.pngNew Contract Attribute ConfigurationFirst: Select the contract type, which will automatically bring up the contract type code, the associated document type, and the transaction type.image_6.pngSecondly: Configure the visibility of the sub-table for contract types. This affects the display of the sub-table for contract types during CLM contract drafting and contract modification (Note: The sub-tables for contract drafting are determined by the intersection of the contract attributes configured for the contract type and the UI template of the transaction type. For example, if the contract type A has contract attribute configuration displaying sub-tables a, b, and c, and transaction type A-1 is configured to display sub-tables a, b, c, and d. When drafting a contract, if contract type A and transaction type A-1 are selected, the contract document will display sub-tables a, b, and c).Finally: Configure Contract Attribute ParametersWhether to enable signing: "Yes": Indicates that this contract type requires signing; when creating the contract, electronic signing or offline signing can be selected; "No": Indicates that this contract type does not require signing; when creating the contract, the signing method will be "not signed."image_7.pngContract Attribute Configuration Edit and DeleteSupport querying of contract attribute configurations, as well as editing and deleting contract attribute configurations.Operation Instructionsimage_8.pngNotes1.The parameters for configuring contract types at the current node are only effective for CLM contracts (contract types with document type CLM contract registration).2.A contract type can only have contract attribute configuration added once; otherwise, it will prompt that it has already been configured.image_9.png3.The current service buttons are controlled by button permissions:Authorization method: Role authorization. After finding the role, go to CLM Contract Service - Contract Management to find the service node and configure the corresponding button permissions.Contract Change CategoriesFunction DescriptionThe category of contract changes refers to the classification of contract modifications, such as changes in the subject matter, changes in price, etc. Different enterprises have different requirements for contract changes, so we provide management and maintenance of contract change categories for corporate clients.Operation InstructionsBased on the contract change category service, contract change categories can be created, edited, enabled/disabled.At the same time, the original factory provides five common contract change categories; tenants can delete, edit, disable, and enable based on the original factory's preset contract change categories.image_10.pngClick the Add button or the Edit button on the row record to add or edit the change category, as shown in the figure below:image_11.pngThe change type name and change type description support multilingual content. After clicking the CN in the name and description input boxes, customers can fill in Traditional Chinese and English. When drafting contracts, the template can be referenced, and the content can be adjusted to form the contract documents for approval and signing. It provides contract template management capabilities for the business personnel of the enterprise's management or legal department.
